Step-by-Step Guide

Creating an Advance Payment

As a client, you can create an advance payment at any time by following these steps:

  1. Navigate to an existing payment group or create a new one.
  2. Click ‘Create a new payment’.
  3. Enter a clear and identifiable payment name (this will appear on the payee’s bank statement).
  4. Input an amount, e.g. 10000 (without commas).
  5. Select the payee who will receive the advance payment.
  6. Link the payment to the relevant contract.

The advance payment will now appear within the payment group with a ‘Pending’ status.

Paying an Advance

To issue the advance payment:

  1. Click the green ‘Pay’ button in the top right of your screen.
  2. Choose whether to issue all pending payments or only the selected advance.

Reviewing an Advance

Once the advance has been created, you can track it by:

  1. Navigating to the relevant contract.
  2. Viewing the list of transactions where the advance is recorded.

The advance will result in a negative balance on the contract, and future earnings will be used to recoup the amount until the balance returns to positive.

Editing an Advance

To edit an existing advance:

  1. Locate the advance in the contract’s transaction list.
  2. Click on the advance name to open its details.
  3. Adjust the Type of the transaction – we recommend updating it from ‘Payment’ to ‘Advance’.
  4. Add a description for internal notes or an invoice number if applicable.
